Compressors, coils, motors and controls all get harder to source when every contractor needs them the same week. TraxSail follows up on your open POs so you hear about a slip before your customer does.

The supplier side, not the sales side.
Lead times on equipment and common repair parts tend to stretch in the run-up to cooling and heating seasons. A date that was fine in spring can quietly slide in June.
Many manufacturers and reps do not send an update when a ship date moves. You find out when the truck does not show.
A no-cool call cannot wait. When a part slips, your counter staff need to know early enough to offer a substitute.
Price lists change and surcharges appear. Catching them on the PO is easier than on the invoice.
TraxSail drafts follow-ups that get firmer as a ship date nears and passes. You approve each one by default, or turn on auto-send per supplier.
When a supplier answers, the reply is parsed and the PO is marked confirmed or delayed, with the new date.
Every supplier gets a reliability score and a letter grade with the reason in plain words. If a grade drops overnight, you get an email.
Once an item has 3 or more orders, TraxSail suggests when to reorder. Late suppliers push the suggestion earlier. One click builds the PO.
On the Growth plan, shipments on UPS and FedEx are tracked inside the PO, so you see movement without a carrier login.
Each new PO price is checked against that supplier's history for the item, so creep gets noticed.
Illustrative example, not a real customer
Imagine a distributor with about 30 open POs for condenser fan motors and capacitors going into summer. TraxSail sends a friendly check-in three days before each promised ship date. One supplier replies that a motor order slips two weeks. The PO is marked delayed, the buyer sees it that morning, and the reorder suggestion for that motor moves earlier next time because the supplier ran late.
This scenario is made up to show how the features fit together. It is not a customer story and the details are not measured results.
If your system can export POs as CSV, TXT, XML, EDI or PDF, the AI import can read them. Excel and Word files are not supported, so save the sheet as CSV first.
Not by default. Every follow-up waits for your approval. You can switch on auto-send for a single supplier once you trust the drafts.
Yes, once an item has 3 or more orders. The reorder suggestion uses that history and moves earlier when the supplier tends to ship late.
Yes, on the Growth plan. UPS and FedEx tracking is integrated into the PO.
